We’re looking for an Administrative Assistant to join our dynamic team, providing crucial support to the Lead Pastor of Administration’s Executive Assistant and the Lead Pastor of Administration. We are seeking a highly organized and proactive individual to join our team. In this role, you will provide comprehensive administrative support, ensuring the smooth and efficient operation of daily tasks. The ideal candidate will be detail-oriented, possess excellent communication skills, be collaborative, and be capable of multitasking in a fast-paced environment.

What You Will Do (includes but is not limited to):

First Chair Office Receptionist

  • Greet guests
  • Answering phone calls
  • Disperse OMN general mail
  • Execute all OMN larger mailings
  • Order OMN general office supplies

Administrative Support

  • Handle communications on behalf of the Executive Assistant.
  • Assist the Executive Assistant in managing schedules and appointments.
  • Assist in preparing and organizing documents, reports, and presentations for meetings.
  • Reconcile and audit monthly department credit card statements.
  • Pay bills using our ATP/Bill.com system (including OMN General from the Finance Department).
  • Update database information as needed.
  • Printing and binding.

Ministerial Credentialing

  • Assist the Executive Assistant with all credentialing (new, upgrades, reinstatements, and transfers).
    • Assist the Executive Assistant with annual credential renewals.
    • Assist with Ministers’ documentation and files.

US Missions

  • Assist the Executive Assistant with scheduled meetings.
  • Schedules and appointments.
  • Assist with Ministers’ documentation and files.

Men’s Ministries

  • Assist the Executive Assistant with administration as needed.

Calendar Management

  • Assist in coordinating and scheduling meetings, appointments, and events.
  • Keep track of deadlines and deliverables to ensure timely completion of tasks.

Information Management

  • Help manage and organize files, documents, and correspondence.
  • Assist in conducting research and gathering information for projects or meetings.
  • Proofreading documents.

Task Prioritization

  • Assist the Executive Assistant in prioritizing tasks and managing time efficiently to meet deadlines.
  • Proactively identify areas where support is needed and take the initiative to address them.

Event Support

  • Assist in events with the Finance Team when available.
  • Participate in events that fall outside of office hours.

Team Collaboration

  • Collaborate with other team members to streamline processes and enhance overall team efficiency.
  • Foster a positive and collaborative work environment.
  • Participate in OMN Weekly Team Gatherings (prayer and Bible devotion) and other meetings as needed.

Additional Responsibilities

  • Assist other departments as needed and available.
  • Other responsibilities, as directed by the Lead Pastor of Administration and the Executive Assistant to the Lead Pastor of Administration.

What We Look For:

  • High school diploma or equivalent.
  • 1-3 years of proven experience in an administrative or assistant role; additional qualifications in office administration or a related field are a plus.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Able to use and learn multiple computer software programs, systems, apps, and other office equipment.
  • A proven track record of meeting deadlines with high-quality work.
  • The ability to manage confidential information with the utmost discretion and confidentiality.
  • Detail-oriented and capable of managing multiple tasks simultaneously.
  • High attention to detail and accuracy, with excellent follow-up skills.

  • On-site four-day work week, 8:30 – 3:30 pm (Monday-Thursday). $21-$24/hr.
