We're looking for an Administrative Assistant to join our dynamic team, providing crucial support to the Network Lead Pastor's Executive Assistant and the Network Lead Pastor. We seek a highly organized and proactive individual to join our team. In this role, you will provide comprehensive administrative support, ensuring daily tasks' smooth and efficient operation. The ideal candidate will be detail-oriented, possess excellent communication skills, be collaborative, and be capable of multitasking in a fast-paced environment.
Administrative Support:
· Handle phone calls, emails, and other communications on behalf of the Executive Assistant and the Network Lead Pastor.
· Prepare and organize documents, reports, and presentations for meetings.
· Reconcile and audit monthly credit card statements.
· Assist with answering external phone calls and greeting guests in the absence of the receptionist.
· Triage physical mail.
· Pay bills.
· Update database information as needed.
· Assist with church documentation.
· Printing and binding.
Calendar Management:
· Coordinate and schedule meetings, appointments, events, and travel arrangements.
· Keep track of deadlines and deliverables to ensure timely completion of tasks and assignments.
Communication Liaison:
· Act as a liaison with various network constituents, as requested.
· Communicate effectively with team members and other departments to facilitate smooth information flow.
Information Management:
· Manage and organize files, documents, and correspondence.
· Conduct research and gather information as needed for projects or meetings.
· Proofreading documents.
Task Prioritization:
· Able to prioritize tasks and assignments and manage time efficiently to meet deadlines.
· Proactively identify areas where support is needed and take the initiative to address them.
Event Support:
· Assist in event tasks from pre-event through post-event, with the goal of always providing meaningful experiences for our constituents.
· Must be able to attend events that fall outside of office hours. These include occasional multi-day events that are local or somewhere in the state. Events can occasionally require weekend work.
Travel Coordination:
· Assist in making travel arrangements, including booking flights, accommodations, and transportation as needed.
· Ensure travel itineraries are well-organized and communicated to the Executive Assistant.
Team Collaboration:
· Collaborate with other team members to streamline processes and enhance team efficiency.
· Foster a positive and collaborative team environment.
· Participate in Weekly Team Gatherings and other meetings as needed.
What We Look For:
· High school diploma or equivalent.
· 1-3 years of proven experience in an administrative or assistant role; additional qualifications in office administration or a related field are a plus.
· Excellent organizational and time management skills.
· Strong communication skills, both written and verbal.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Able to use and learn multiple computer software programs, systems, apps, and other office equipment.
· A proven track record of meeting deadlines with high-quality work.
· Ability to handle confidential information with confidentiality and discretion.
· Detail-oriented and capable of managing multiple tasks simultaneously.
· High attention to detail and accuracy, with excellent follow-up skills.
What We Offer:
· On-site four-day work week, 8:30 – 3:30 pm (Monday-Thursday). $21-$24/hr.
